Privacy Policy

1. What Data We Collect

We collect only the data necessary to provide and improve TailTrak:

• Account information — your name, email address, and password
• Pet information — pet name, species, breed, age, weight, care logs, and records you enter
• Photos and media — pet photos and body condition images you upload
• Location data — GPS tracks recorded during TrakME activity sessions, only when you actively use tracking
• Usage data — app activity, log entries, and feature usage

2. How We Use Your Data

2a. Providing the Platform

We use your data to operate TailTrak and deliver its features, including:

• Care tracking, weight monitoring, and activity logging
• TailTrak Insights — surfacing trends and notable changes in the inputs you track
• Notifications, reminders, and medication alerts you configure
• Enabling you to share pet records with veterinarians, groomers, and other caregivers you authorize

2b. Platform Improvement & Research

TailTrak anonymizes the inputs you contribute — removing all information that directly identifies you or your specific pet — and incorporates that anonymized data into aggregate pools used to maintain and improve the accuracy of TailTrak Insights and to support veterinary research. Research data use is required by Terms of Service and cannot be disabled. Anonymized data in these pools is retained even after account deletion, as it exists only as aggregate data with no connection to you or your pet.

TailTrak does not sell user data of any kind to third parties, and identifying personal information is never shared with third parties for research purposes.

2c. Marketing, Personalization, and Promotional Use

By creating a TailTrak account, you agree to the following marketing uses. You may opt out of TailTrak's promotional use of your pet's photos and non-identifying information at any time via Account Settings → Legal. Research data use (Section 2b) is separate and cannot be opted out of.

• TailTrak may use your in-app activity and usage patterns to personalize your experience and deliver relevant in-app promotions and feature announcements
• TailTrak may use your pet's photos and non-identifying pet information — such as your pet's name, breed, and age — in promotional and marketing materials, including advertisements and social media content. Your personal information and any details that could identify you as the owner will never be included.
• If you opt out, TailTrak will not use your pet's photos or information in any new promotional materials. Promotional materials already in public circulation at the time of your opt-out cannot be guaranteed to be fully recalled or removed.
• We do not share your personal information or identifiable pet records with advertisers or third-party marketing partners.

3. Data Storage & Security

• All data is stored securely on servers located in the United States
• Pet care data is encrypted at rest and in transit
• GPS tracks are stored only when you actively use TrakME — we do not track your location in the background
• Passwords are hashed using industry-standard algorithms (argon2)
• We maintain regular backups to prevent data loss

4. Third-Party Services

We use a limited number of third-party services to operate TailTrak:

• Anthropic — powers TailTrak Insights analysis. Pet data is processed by Anthropic's API but is not stored or used for training per their commercial terms.
• Resend — email delivery service for notifications and reminders. Receives only the email addresses necessary for delivery.
• Stripe — payment processing for MVP subscriptions. We never see or store your credit card information.

We do not use advertising networks, data brokers, or third-party behavioral analytics trackers.

5. Data Sharing

TailTrak does not sell user data. We share data only in the following limited circumstances:

• Service providers who assist us in operating the platform, under confidentiality obligations, as listed in Section 4
• TailTrak Pro professionals you explicitly connect with through the platform
• Law enforcement or regulatory authorities when required by law

6. Your Rights

• Access — view all your data at any time through your account dashboard
• Export — download your pet's complete care history
• Correct — edit or update any information in your account at any time
• Delete — permanently delete your account and all identifiable records from Account Settings. Anonymized data already incorporated into aggregate pools is retained as aggregate statistical data only, with no connection to your or your pet's identity.
• Opt Out — withdraw consent for promotional use of your pet's photos and information at any time via Account Settings → Legal

7. Account Eligibility

TailTrak requires all account holders to be at least 18 years of age. We do not knowingly collect personal information from anyone under 18. If you believe an individual under 18 has created an account, please contact us at [email protected] and we will promptly investigate and remove the account if confirmed.

8. Changes to This Policy

We may update this policy from time to time. We will notify you of material changes via email or in-app notification at least 30 days before they take effect. Continued use of TailTrak after changes take effect constitutes acceptance of the updated policy.
